Online Payments
All payments are required at the time of booking a pay-per-visit activity or purchasing a membership. Failure to make payment will result in the automatic cancellation of the booking or membership.
Refund Policy
Pay-per-visit single activity booking payments are non-refundable once a booking is made and payment is received. You can transfer your pay-per-visit booking if notify us of your cancellation 24hrs prior to your activity booking start time by contact reception. Note transferred booking must be within 7 days of original booking. Holiday Activity Courses are non-refundable or transferable.
Online Bookings
You can book 7 or 8 days in advance via the WLL Xcite App or online bookings (depending on your membership). Simply log into your Xcite account using your PIN and ID. Members can re-book or cancel their activity under their account. Bookings can be made online in your “My Xcite” account on the website or on the WLL Xcite App up to 1 minute before an activity starts. You can cancel a Fitness Class or activity 2 hour prior to the class starting.
Note: unless stated, all bookings online are individual and you must log in under your own account to make a booking. If you are booking for your child, you must log in under their PIN and ID.
Reception
You can book 7 days in advance at Reception. Why not ask for your ID number the next time you visit: the team will send you a link to set a unique PIN number so you can enjoy the benefits of using WLL Xcite App. You can cancel your activity at reception prior to the activity start time. A minimum of 2 hours’ notice is required to ensure a no show fee is not applied to your account.
Xcite Check-in kiosk
You’ll be able to book on the day of your class at Xcite Venues at kiosk stations - available Xcite Bathgate, Craigswood, Linlithgow, and Whitburn.
Cancellations
Cancellations can be made on our website or on the WLL Xcite App up to 2 hours before the start time of your booked activity.
On the WLL Xcite App, activities booked can be found under the “Your Bookings” tile. You can cancel your activity in this section. For online cancellations, you'll see a cancellation option in your “My Xcite” account on the website in “Manage Bookings”
If you need to cancel in the 2 hours before the start of your booked activity, please contact the Xcite Venue directly. Reasons for cancellation will be considered at the Xcite venue’s discretion.
You cannot cancel by email or via our social media channels, only via your online account, the WLL Xcite App or contacting Reception directly.
Please note a £2.00 No Show fee will occur on your account if you do not attend an activity that you have booked and have not cancelled. (i.e Fitness Class, Lane Swimming, Sauna & Steam Room, Racquet sports)
To avoid incurring a No Show fee, please cancel any activity bookings in advance and within the stated time limits.
Why do we have a £2.00 No Show fee?
The No Show fee has been introduced to discourage non-attendance without cancellation. By doing this we aim to allow members the opportunity to utilise available booking spaces and maximise activity attendance.
If an activity is booked and you do not cancel or attend your booking, a £2.00 charge will be applied to your membership account. You'll receive an email notifying you of the fee and instructions on how to pay. Until the fee is paid, you will be asked to pay for any further activities in addition to your regular membership cost. The No Show fee can be paid online or at any Xcite Venue. This fee will only be applied to monthly and annual paying members. Once the fee has been paid you will be able to make bookings again included in your membership free of charge.

Arriving for your activity
Please arrive 5 minutes early for your class. It is your responsibility to check-in your (or your child's) attendance at reception or kiosk. Please read our Safety Commitment and FAQs before visiting us.
